Everesting Event Participation Terms and Conditions

These Terms and Conditions are applicable to all and any Event organized by Everesting Challenge, which will be held on the date at place published on the specific terms of each one, herein referred as to Event.

By subscribing this and any registration form, Participant automatically fully accepts and submits to all these terms and conditions, herein referred as to T&C, as well as to the specific conditions of each one, which will be adapted to each particular circumstances.

A. BEFORE THE EVENT

  1. 1. Acknowledgment of Risk and Liability

By subscribing to the registration form of this Event, the participant acknowledges that participation in the Event involves significant risks associated with the race, including but not limited to: extreme weather conditions, rough and uneven terrain, altitude sickness, slips, trips, falls, injuries from wildlife, damage or loss of any belonging, arising out from their participation as well as other natural hazards.

The participant understands that these risks could lead to serious injury, permanent disability, or death. The race organizers, sponsors, volunteers, and affiliated parties shall not be held liable for any personal injury, death, or property damage that might occur during the race, except in cases of gross negligence.

  • 2. Physical Fitness, Capability and Insurance

The participant confirms that they are in good physical condition and possess the necessary skills and experience to safely participate in the Event. The participant acknowledges that participating in the Event involves steep climbs, descents, and prolonged physical exertion in challenging environments, and they accept full responsibility for their own preparation and fitness level.

The Participant confirms that they have adequate personal health that covers high-risk activities, including participation in Events. Additionally, the event organizer will provide the Participant with accident insurance to cover any incidents that may occur during the event. The Participant agrees not to hold the race organizers responsible for any medical or emergency expenses incurred beyond the coverage provided by the organizer’s insurance

Since subscription is only permitted for people of minimum 16 years old, the participant confirms he/she is 16 years old or older.

  • 3. Medical Clearance

The participant commits to undergo a medical examination prior to the race at a medical checkpoint (triage), if required by the Event organizers, and certifies that they are free from any medical condition that could endanger their life or the lives of others during the race.

If the organizer or the medical staff notice any abnormalities regarding the mental and/or physical performance, the organizer is entitled to prohibit the participant from starting or to remove the participant at any moment from the race.

  • 4. Doping

Any case of doping will result in immediate disqualification of the corresponding participant. In particular, intravenous infusions are prohibited without a medical exemption, even in cases of exercise-induced dehydration.

  • 5. Obligation to Follow Rules and Guidelines

The participant agrees to comply with all race rules (including traffic rules where race is held), safety guidelines, and instructions provided by the organizers before and during the event. Failure to adhere to these rules may result in disqualification from the race and immediate removal from the Event.

Therefore, participant hereby acknowledges and abides to, that if organizer at any time notifies the stop of Race, the exclusion of any participant or any other instruction, they will follow it immediately.

The organizer and his staff, in particular the race director, course director, the staff of the control and refreshment points, the medical crew and the final runners, may remove participants from the event at any time.

Should a participant be taken out of the event or drop out or withdraw from the event at their own request, they must immediately sign out from the run with the Medical Crew and return to Basecamp without delay, otherwise a potentially expensive and costly search operation will be initiated at the participant’s expense. The phone number of the medical crew will be given to the participants at the briefing.

In case of violations of any participation rules as well as in case of unsportsmanlike conduct (e.g. obstruction of other participants or similar), the organizer is entitled to disqualify the participant concerned at any time. In this case the entry fee will not be refunded.

  • 6. Image Rights

By subscribing to the Event, the participant hereby grants the organizers their image rights within the participation, before and after, which includes podium and/or interviews, if any, until the end of the Event, all of which might be done meaning both as being filmed or pictures in still images.

Participant understands and accepts that this grant of rights is hereby granted by all means, including internet, social nets, in perpetuity and worldwide at no remuneration, since it is an essential part of their participation.

  • B. DURING THE EVENT
  • 7. Briefing / start

The event briefing will take place before the start at the event site. During the briefing, the organizer will inform the participants about special features of the route/climb. Participation in the briefings is mandatory for all participants.

On the start day, the event begins in the morning with a final briefing. After the start, participants in the Event will have specific number of hours to complete the race, according to each Event circumstances. No scoring will take place after these time limits have expired. The organization will inform in the particular terms & conditions of each event about which is this limit amount of time given.

  • 8. Start number & tracking system

The start number, which is not transferable, will be given to each participant upon presentation of the identity card after confirmed registration and submission of the personally signed liability release declaration at the start (the wording can be downloaded beforehand after registration on the event homepage).

The start number must be worn completely visible during the event.

Also, each participant must bring at all moment a tracking system (or similar) given by the Organization, it being understood and agreed that it is compulsory to carry it during the whole race, either for safety purposes as well as for final classification. This tracking system is not transferable, under any circumstances.

  • 9. Markings of the route

The route will be marked by the organizer (e.g. with chalk spray, signs, route tapes, flags, reflectors, etc.). Unfortunately, markings may be removed by animals or by third parties, may disappear or be obscured for weather reasons (rain, snow, wind, fog, etc.).

Participants must be able to find the running /cycling route themselves using a navigation app, external device or paper map.

After the established time limit set up by the organizer, the organizer’s final athletes will walk the entire course again and point out to any participants still on the course that the event is over and that participants should dismount immediately; the course will then be closed and the markings on the course will be removed promptly. They will have to jump in the sweep car.

  1. 10. Refreshment points

There will be refreshment/aid stations along the route. Regardless of this, each participant is responsible for having enough food, especially drinks and snacks or similar, with them at all times, as well as basic spare materials, even it will be technicians through the whole route assisting the athletes. 

Drinks, bars, fruit and other snacks are available at each aid station. Hot meals are available for purchase by participants at the station during opening hours.

  1. 11. Weather and route

The weather in the mountains can change abruptly. All participants must be appropriately dressed at all times. This means that each participant must always wear clothes suitable for the weather. In cold temperatures, warm clothing must be worn, and in the rain, at least a rain jacket must be worn.

If the safety of the route deteriorates, especially for weather reasons, the organizer can change sections of the route at short notice or replace them with alternative routes. It is also possible for the organizer to pause or cancel the event due to weather or limited operation of the mountain railroad.

When a route, or the Event be cancelled, either in whole or in part, instructions must be followed by participants, for their own safety.

  1. 12. Emergency Procedures

The participant agrees to carry the mandatory safety equipment as specified by the organizers and to follow any emergency protocols in the event of an accident or injury.

The participant understands that access to medical assistance may be delayed due to the remote location of the race.

  1. 13. Emergency medical care / medical crew

Event site: Health is close to our hearts. The medical service of the Medical Crew can be used at any time by all participants on the event site.

During the course of the event: safety is paramount. Therefore, forces from the Medical Crew and/or public rescue organizations are on standby along the route until the last participant returns to Basecamp. Should a participant experience health problems or emergencies with him/herself or other participants, the participant must contact the Medical Crew immediately (by telephone if necessary). Each participant is obliged to provide first aid.

In nature, there are always unforeseen circumstances that delay immediate assistance. Everyone is challenged here – through personal responsibility and self-discipline. In the best case, the race will end at a checkpoint or aid station.

The Medical Crew may at any time remove participants from the Event who, in the opinion of the Medical Crew, are no longer able to complete the event under their own power or at risk of harm or impairment to their health or endangering the assigned course personnel or the Medical Crew.

The Medical Crew is entitled at any time to examine participants medically and to check the compulsory equipment, to transport participants away by the appropriate means of transport or to take them or have them taken by the public rescue service to the nearest suitable hospital if, in the opinion of the Medical Crew, the participant’s condition so requires.

Costs for a deployment of rescue forces ordered by the medical crew or the organizer at their discretion are to be borne by the participant.

The phone number of the Medical Crew will be announced at the event briefing. Each participant has to store the phone number in his own smartphone.

  • C. GENERAL
  1. 14. Waiver of Claims

The participant agrees to waive any legal claims against the race organizers, sponsors, and other participants for any injury, loss, or damage suffered during or as a result of the race, except in cases of gross negligence or intentional misconduct by the organizers.

  1. 15. Rescheduled/Postponed Events 

Should the event be impacted by any global pandemic, or by any force majeure or third circumstance, it is at the Event organizer sole discretion whether and when to reschedule or postpone an Event.

Inscription acquired for an Event that is postponed will be valid for use on the date the Event is rescheduled for the location originally purchased. If the Event is postponed and the customer does not wish to participate in the rescheduled date, each Ticket will be issued a full refund once the Event Provider has authorized refund excluding the booking fee costs.

The Event organizer does not refund any travel or other costs outside of the event registration associated with postponed events.

  1. 16. Visa Requirements
    It is the sole responsibility of the Participant to ensure they meet all visa and entry
    requirements for attending the Event. If a Participant requires a visa and their
    application is denied or delayed, the Event Organizer will not provide a refund. In such
    cases, the standard Refund Policy and Transfer Policy will apply as outlined in these
    Terms and Conditions. Participants are strongly encouraged to apply for any necessary
    visas well in advance to avoid complications.
  2. 17. Refund & Transfer Policy for Everesting 48h Challenge Events

The Organizer might offer a cancellation insurance to the participants, by which at any moment, even up to 7 (seven) days before the date of the Event, participants might decide if they want to participate or not. Should athlete decide not to participate, insurance will cover only the refund of Registration Fee. Such reimbursement shall only cover Registration fee, but never insurance fee nor costs associated such as travel costs or hotel booking, etc.

Refund Policy

  • Each registration includes a 10% non-refundable fee.
  • Refunds requested more than 4 months prior to the event start date will be refunded in full, minus the 10% non-refundable fee.
  • Refunds requested between 2 and 4 months prior to the event start date will receive a refund of 50% of the registration fee.
  • No refunds will be provided within 60 days of the event start date, with no exceptions, including injuries, illnesses, personal reasons, or other circumstances.
  • Refunds will be returned to the original payment method used during registration.
  • Participants are strongly encouraged to purchase event insurance through a third-party provider.
  • All refund requests must be submitted exclusively via email to [email protected]. Requests sent via other methods will not be accepted.

Transfer Policy

  • Ticket transfer requests are subject to a 150€ transfer fee per ticket.
  • Transfers must be requested at least 2 months before the event start date.
  • Tickets can be transferred to an event held in the following calendar year, subject to availability.
  • For transfers to a different event, in addition to the 150€ transfer fee, participants must pay any price difference between the original registration fee and the registration fee of the new event.
  • If no future event is announced at the time of the transfer request, Everesting reserves the right to hold the registration fee for up to 6 months while evaluating potential future events. After this period, participants may choose between a refund (subject to the applicable refund policy) or a transfer to the next announced event.
  • All transfer requests must be submitted exclusively via email to [email protected]. Requests sent via other methods will not be accepted.
  1. 18. Severability Clause 

If any provision or part of these Terms is held to be illegal, unenforceable or ineffective, such provision or part thereof shall be deemed modified to the least extent necessary to render such provision legal, enforceable and effective, or, if no such modification is possible, such provision or part thereof shall be deemed severable, such that all other provisions in and referenced in these Terms remain valid and binding. 

  1. 19. Others:
  2. A) Accompanying persons of the participants are strictly forbidden to pollute or damage the track and the surrounding nature. This includes, in particular, spraying or painting the track. In case of violation, this will immediately lead to the disqualification of the participant who was supported or should be supported.
  3. B) Support vehicles (including bicycles) are prohibited. If accompanying vehicles are encountered, this will immediately lead to the disqualification of the accompanied participants.
  4. C) If any dispute arises from the Event, applicable law will be Spanish law and jurisdiction will be at Barcelona courts (Spain).
  5. D) The rule of consideration, sportsmanship and fairness applies among all participants and teams. Mutual assistance in case of emergency is a matter of course.

F) By accepting this T&C , the participant affirms that they have fully read and understood the terms of this Terms and voluntarily agree to these conditions as a prerequisite for participation in the Event.

All reservations with Everesting Challenge, SL are subject to the following Terms and Conditions

Booking Confirmation

To book a trip you should submit a Booking Form from our website or to a tour operator appointed by us. As part of the booking process, you will be asked to pay a deposit to secure your booking. Within 1 working day of you submitting the booking, our staff will contact you via e-mail to confirm the booking and the deposit payment. Please don’t confirm any travel plans until you’ve received the booking confirmation e-mail from our staff. You will also receive an invoice via e-mail showing you the final amount due and the payment due date.

  • Final Payment

Final payment is due 90 days before the Trip Start Date. If you book the trip less than 90 days before the Trip Start Date, full payment will be due at the time of booking.

  • Cancellation Policy

Cancellations policy is the following:

  1. If You cancel a Trip 
More than 90 days prior to DepartureReceive a Refund of 100% of all payments already made OR 100% of the tour deposit will be given as a future Trip credit.
Between 61 and 90 days prior to DepartureReceive a Refund of 50% of all payments already made OR a 75% of all payments as a future Trip credit.
Between 31 and 60 days prior to DepartureReceive a Refund of 25% of all payments already made OR a 50% of all payments as a future Trip credit
30 days or less prior to Departure or no-showsNo refund or future Trip credit.

Please note that a Trip Credit cannot be converted to a refund at a later date.

  • If Everesting Challenge, SL cancels a Trip

Everesting Challenge, SL reserves the right to cancel your trip under any of the following circumstances:

  1. Where extraordinary or unavoidable circumstances beyond our reasonable control arise. Such circumstances include but are not limited to, dangerous weather conditions, fires, natural disasters, industrial actions, war, riots, pandemics, civil or political unrest, terrorism and technical problems which may arise with transport.
  2. If we believe that the safety of our guests or staff could be compromised.
  3. The minimum number of guests needed to operate one of our trips has not been met.

In the event of such a cancellation, Everesting Challenge, SL will issue a full refund of any amounts paid, unless the cancellation was caused by a global pandemic, such as COVID-19. If a global pandemic is the cause of the trip cancellation, Everesting Challenge, SL will issue a Trip Credit of the full amount paid to be used towards any future Everesting Challenge, SL trip within a period of 36 months of the trip cancellation. A Trip Credit cannot be converted to a refund at a later date and it is not transferable. Everesting Challenge, SL will not be responsible for any travel-related costs or extra costs incurred by the guest, the refund or Trip Credit will constitute full settlement. Everesting Challenge, SL reserves the right to make hotel and route modifications which become necessary due to circumstances beyond their control and undertake to inform all of you as soon as possible.

  • Execution of a Trip

Everesting Challenge, SL or the tour operator appointed by Everesting Challenge SL at a given tour is responsible for the correct execution of all travel services included herein. In case Everesting Challenge is not the one operating, Everesting Challenge SL will inform before the start of the tour the exact name of the tour operator. Everesting Challenge, SL or the tour operator shall provide adequate assistance without undue delay to the traveler in need of assistance. Everesting Challenge, SL or the tour operator may invoice a reasonable surcharge for such assistance if the need of assistance has been caused intentionally or due to the negligence of the guest. Said surcharge will in no case exceed the actual costs incurred by Everesting Challenge, SL. By submitting this booking, you undertake to inform Everesting Challenge, SL without undue delay of any lack of compliance observed during the execution of a travel service included herein.

It will not be mandatory to hire the bicycle with Everesting Challenge SL or any of our tour operators. However, no discounts will be done if you bring your own equipment.


It will be mandatory however to use the same hotel for the good logistics of the whole tour.

Everesting Challenge SL will bring at least one tour guide and one support vehicle for the duration of the Trip.

In case the start point is not in an airport, Everesting Challenge SL will not include the logistics from any airport until the exact location where the Trip will start unless specifically mentioned in the tour and communicated to the customer.

  • Changes to Booking

Any changes to your booking (dates, destinations, etc.) are subject to availability and may incur an administrative fee other that aggregates costs arising out from the requested modifications. Even though we will do our best to provide such changes, we cannot guarantee them, since they are beyond our control.

  • Travel and Medical Insurance

Travel insurance is mandatory for everybody. Your insurance must cover adventure activities, medical expenses, evacuation, and trip cancellations. Proof of insurance will be required before departure.

You are responsible for having adequate insurance covering accident, personal injury, evacuation and medical costs, loss of luggage and cancellation.

Everesting Challenge, SL is not liable for personal injury, death, damage to property or other loss whether arising from accident, cancellation, delays or any other matter beyond our control. We strongly recommend that you protect your travel investment with Travel Insurance. We highly recommend that you purchase comprehensive travel insurance, covering trip interruption and cancellation, baggage, medical, accident/life, evacuation, repatriation and other expenses which might arise as a result of loss, damage, injury, delay or inconvenience occurring to you. You may purchase insurance through our preferred provider which, if any, it will be appointed and communicated at due time. If you decide not to use our preferred provider, we assume you are securing protection through another insurance company of your choosing. We also recommend that your travel insurance package includes Cancel for any Reason (CFAR) coverage.

In some trips, Everesting Challenge SL or the tour operator for the trip, will book the travel insurance on behalf of the client and include it on the price. We will inform you beforehand and let you know the Terms and conditions of the service. You will need to sign and return it to Everesting Challenge SL before the trip takes place.

IMPORTANT: please check with your Travel Insurance provider as you will typically be required to purchase the CFAR coverage within a few days of booking your trip and paying the initial deposit.

  • Health Requirements and Medical Care

You must be in good health and physical condition to join Everesting Challenge, SL activities. It is your responsibility to ensure you meet the fitness levels required for the chosen itinerary. The operator reserves the right to refuse any person who does not meet these standards.

Our Trips are physically active, with varying levels of demands and fitness requirements depending on the specific itinerary. By agreeing to these terms, you represent that you do not have any physical or other conditions that would create a hazard for you or thirds or affect other people’s enjoyment of the Trip. Everesting Challenge, SL assumes no responsibility for any medical care provided to you. You agree to assume all costs of medical care and related transportation that are provided to you during the Trip.

In case of crash, injury or that you might not be able to continue the Trip or ride, Everesting Challenge SL might have a supported vehicle / sweep car. The number of seats might vary and in case it’s full, it will be the Tour guide who will decide who is in and who must continue riding.

  • Itinerary Changes

Due to the nature of Everesting Challenge, SL travel, itineraries may need to be adjusted due to weather conditions, political instability, or other unforeseen circumstances. The operator reserves the right to modify the itinerary to ensure the safety and enjoyment of the group.

  • Passports, Visas and Travel Documents

It is your responsibility to ensure they have the necessary visas, permits, and travel documents for the destination. Everesting Challenge, SL or the Tour Operator are not responsible for any delays or cancellations resulting from incorrect documentation.

You are responsible for ensuring that all necessary travel documents are valid and effective and in your possession for the entire Trip. If required, we suggest you apply for or renew a passport early. Other required documents may include visas, permits, and vaccination certificates. You assume complete and full responsibility for checking and verifying any and all passport, visa, vaccination, or other entry requirements. You are also solely responsible for any adverse consequences resulting from incomplete or defective documentation. While we may provide information or advice on matters such as visas, vaccinations, climate, clothing, baggage, and special equipment in good faith as a courtesy to you, we are not responsible for any errors or omissions as to the information provided.

  1. Age Restrictions

By joining Everesting Challenge, SL Trips and activities you must be 16 years old or older. Anyone from 16 years old to its full legal age must count with a parent or guardian permission.

Also, if you are between 16 and 14 years old, you can join the Trip, provided it is always accompanied by a parent or tutor. Parent or tutor will become responsible of participants between 14 to 16 years old.

In case of need of permission of a parent or guardian to travel, cross frontiers, etc., it will be your responsibility to have all such documentation, releasing Everesting Challenge, SL or the Tour Operator of any liability.

It is a recommendation and preference of Everesting Challenge, SL that if you are under full capacity of age, it would be better to travel accompanied by a parent or guardian with full legal capacity.

  1. Special Requests

Any special requests (e.g., dietary needs, accommodation preferences) must be communicated at the time of booking. While Everesting Challenge, SL or the Tour Operator will do our best to accommodate these requests, we cannot guarantee all can be met.

  1. Credit Card Authorization for Post-Booking Charges

You hereby authorize Everesting Challenge, SL to charge your credit card number for any change fees, price increases, or supplemental payments that you incur post-booking. If you prefer a different payment method, you must notify us in writing at the time of booking.

  1. Liability

The operator is not liable for any accidents, injuries, losses, or damages that might occur during the trip. By booking, you acknowledge that Everesting Challenge, SL travel involves inherent risks and agree to participate at your own risk.

Everesting Challenge, SL acts only as an intermediary for the various independent suppliers that provide lodging, meals, transportation, sightseeing, activities or other goods and services connected with your Trip (“Supplier” or “Suppliers”). You acknowledge that you are aware and clearly understand that these Suppliers are independent contractors, are not managed by Everesting Challenge, SLand are not agents or employees of Everesting Challenge, SLA Supplier’s services are subject to the Supplier’s own terms and conditions and the local laws and regulations of the relevant country. Everesting Challenge, SL will not provide any refund for a Supplier’s delay, cancellation, overbooking, or strike.

  1. Force Majeure

Everesting Challenge, SL will not be deemed in breach of this agreement or otherwise liable to you, by reason of delay in performance or non-performance of any of its obligations under this agreement to the extent that any such delay or non-performance is due to any Force Majeure. “Force Majeure” means any circumstances beyond the reasonable control of Everesting Challenge, SLincluding without limitation acts of God, terrorist activities, insurrection, explosion, flood, tempest, forceful wind, fire or accident, war or threat of war declared or undeclared, sabotage, civil disturbance, labor strikes, requisition, sickness, quarantine, government intervention, weather conditions, and unforeseen circumstances. If Everesting Challenge, SL and/or any of its Suppliers are affected by Force Majeure, they shall be entitled to, and may in their sole discretion, vary or cancel any itinerary or arrangement in relation to the Trip. Regarding civil unrest, once Everesting Challenge, SL has investigated the prevailing situation, as it deems fit, it shall remain in its sole and absolute discretion whether to proceed with the Trip.

  1. Limitation of Remedies

You agree that the sole remedy for any default by Everesting Challenge, SL arising under this agreement shall be the return of the paid Trip cost. To the maximum extent permitted under applicable law, Everesting Challenge, SL shall not be liable for any special, consequential, indirect, incidental or other damages arising out of or in any way connected to this agreement, including lost profits, whether such damages arise in contract, negligence, tort, under statute, in equity, at law, or otherwise, even if Everesting Challenge, SL has been advised of the possibility of such damages. You expressly waive any right you may have to recover such damages.

  1. Trip Start Date

It is your responsibility to be ready to embark on the Trip as specified in the itinerary. Everesting Challenge, SL is not responsible for any losses due to cancelled or missed flights, changed flight itineraries, late arrivals, or early departures.

  1. Compliance with Local Laws and Trip Etiquette

You must strictly comply with all local laws, respect local customs and culture, accurately assess your abilities, respect other trip members’ privacy, and follow the suggestions and advice of any assigned guide. The decision of the local guide or local supplier is final on all matters that may threaten the safety or interfere with the well-being of others.

During the Trip, Everesting Challenge, SL or the local guide/supplier has the right in its sole discretion to remove anyone a) who it judges to be incapable of meeting the demands and requirements of participating in the Trip activities; or b) who it determines to detract from others’ enjoyment of the Trip.

  1. Images Release

You agree that Everesting Challenge, SL may use, re-use and reproduce any images, photos or videos that you send to us, or that are taken by our guides and/or other travelers of you individually or in a group, in any medium, including but not limited to print, electronic media, or Internet, free of charge and without your right to inspection, for promoting and publicizing our travel products and services worldwide. If you do not want us to use any images of you that are taken by us or other participants during the Trip, you must inform us or your Trip leader in writing at the start of the Trip.

You understand and accept that this grant of rights is hereby granted by all means, including internet, social nets, in perpetuity and worldwide at no remuneration, since it is an essential part of your participation.

  1. Others
  2. You agree to waive any legal claims against the trip organizer, sponsors, and other participants for any injury, loss, or damage suffered during or as a result of the trip, except in cases of gross negligence or intentional misconduct by the organizers.
  3. If any provision or part of these Terms is held to be illegal, unenforceable or ineffective, such provision or part thereof shall be deemed modified to the least extent necessary to render such provision legal, enforceable and effective, or, if no such modification is possible, such provision or part thereof shall be deemed severable, such that all other provisions in and referenced in these Terms remain valid and binding. 
  4. In compliance with the Spanish Data Protection Law 15/1999 of December 13, Everesting Challenge, SL declares that the personal data provided by you will be integrated into the management files to streamline their administrative management and accounting, and the management of tourism services of this contract.
